Our client is a specialized academic institution in Singapore, operating across a multi-campus environment and supporting more than 500 academic and administrative staff. Its faculty drives a high volume of activities, stakeholder engagement and travel, resulting in frequent expense claims across a wide range of categories. They sought a more automated and structured approach to reimbursement processing, to meaningfully improve on the existing cumbersome system and associated processes. Advance was appointed to deploy the proprietary ‘XClaim’, an AI-powered expense claim system that builds on existing workflows, configurations and authorizations, while simplifying and improving upon the user experience through intelligent automation.

Since go-live, XClaim has shifted expense processing from a heavily manual task to a more automated, simpler, mobile-based exercise. Approved claims are instantly queued for the next payroll cycle, enabling zero-wait reimbursements. XClaim centralizes approvals and governance, provides real-time visibility, and removes the need for manual data synchronization. Staff can manage the full lifecycle of a claim from any device, with OCR capabilities that reduce reliance on scanned paperwork and spreadsheets.
